TRAVEL COMMITTEE GUIDELINES

PURPOSE: The purpose of the Calgary Law Group Travel Grant is to financially assist Calgary Law Library Group members who have contributed actively to the group and their profession. The Grant is administered by the Calgary Law Library Group Travel Committee selected each year.

QUALIFICATIONS: The applicant must have been a member of the Calgary Law Library Group for at least six months. An applicant who applies late or submits an incomplete application will not be considered.

1. The committee shall be three members in good standing to be selected by the Chairperson.

2. Ideally they shall be one each from private firms or corporate legal departments, court houses, and academic institutions in order to keep the selection process impartial.

3. Members of the Travel Committee cannot apply during the year they serve on the Travel Committee.

THE TRAVEL GRANT

1. The maximum amount will remain at $1,500 if the economic situation of the Calgary Law Library Group will allow. This amount may be subject to change without prior notice. The total amount of money available for the grants must be verified with the Treasurer before the Committee meets to consider the applications.

2. Applicants must submit the complete application form for an approved conference scheduled to be held before December 31st of the current calendar year in order to be considered by the Calgary Law Library Group Travel Committee. The Committee will ensure that the application form is available by early January.  All applications for all conferences held during the year must be submitted by mid-February for consideration by the Committee. A letter of recommendation may be required. It would be helpful if this letter could be from a person who supervises your work and who is familiar with your responsibilities and who could include information about your potential contribution to the field of law librarianship and the Calgary Law Library Group, as well as the need for the travel grant.

3. The amount awarded will depend on the number of eligible applicants. In any given year, the committee may reserve the right to withhold the award; or to dispense a partial or full award. The amount awarded to each individual will be determined by the Committee at its discretion. Upon written request by the successful applicant(s), the Travel Committee may agree to advance the approved amount. The committee will announce the successful candidate to the Calgary Law Library Group on the Calgary law Library Group website.

4. It is assumed that the most reasonable means of transportation will be used.

5. All receipts for attendance must be forwarded to the chairperson of the travel committee with a brief summary of sessions attended and comments overall which will be posted on the Calgary Law Library Group website. All unused funds must be returned to the Chairperson of the Calgary Law Library Group Travel Grant committee within thirty days of the seminar or conference attended.

6. It is the responsibility of the current Committee to forward Committee information to the incoming Committee at the time of the Annual General Meeting.

CRITERIA FOR SELECTION OF CANDIDATE

1. The candidate must be a member of the Calgary Law Library Group in good standing at least six months at the time of application.

2. The candidate should have contributed actively to the Calgary Law Library Group. For example - serving on the executive committee or planning a seminar. (Registration for sessions will not be considered active participation).

3.  The successful candidate must agree to sit on the Travel Grant Committee the following year.

4. (a) If the Calgary Law Library Group Travel Grant Committee perceives a greater contribution to the Calgary Law Library Group would be achieved by the candidate attending a seminar or conference other than CALL, the grant shall be so awarded.

(b) The conference or seminar attended by the candidate should relate directly to the candidates' function within their present work environment and provide professional development.

5. Has other funding been requested? (Eunice Beeson or place of employment). Other requests must be declared on the application form.

6. Previous Calgary Law Library Group funding will be considered in order that all members who wish to be considered, will be afforded that opportunity.

The Calgary Law Library Group Travel Committee will notify all applicants as to their status regarding the award.
